Privacy Policy
How we collect, use, share, protect, and retain your information.

This Privacy Policy explains how American R&C LLC— operating as Buchanan Materials and Tri-Lakes Redi-Mix (“we,” “us”) — handles information across our public website and our operations application (the “App”) used by our employees and by customers with a credit or portal account. By using the App or website, you agree to this policy.
Who the App is for
The App is a private business tool for running our concrete, aggregate, and block operations — orders, quotes, deliveries, credit review, HR, fleet management, and permits. Accounts are created by our administrators or by invitation; there is no public self sign-up. It is not directed to children.
Information we collect
- Account & profile: your name, email, phone number, profile photo, roles, and a securely hashed password.
- Operational records: orders, quotes, deliveries, signatures collected on delivery, daily production logs, tickets, and uploaded documents or photos.
- Credit applications (customers): business and personal identifiers you provide, which may include Social Security Number, Employer Identification Number (EIN), DUNS number, driver’s license, bank and routing numbers, trade references, and financial details.
- Employee/HR records: onboarding documents, certifications and tags, and sensitive identifiers such as SSN, bank details, and driver’s license where required for employment.
- Customer & contact information: company names, contacts, addresses, phone numbers, and email addresses.
- Notifications: if you opt in, a push-notification subscription for your device.
How we use your information
We use information solely to operate our business: to create and fulfill orders and quotes, review credit applications, manage employees and fleet, process permits, send transactional email and (optionally) SMS about your orders or account, and deliver notifications you have enabled. We do not use your data for advertising, and we do not sell your personal information.
How we share information with third parties
We share data only with service providers that help us operate the App, each bound to protect it and use it only to provide their service to us. Each of these providers is contractually required to provide the same or equal protection of your data as described in this policy:
- Supabase — our secure database, authentication, and file storage.
- Vercel — application hosting.
- Resend — transactional email delivery.
- Twilio — SMS delivery of receipt/order links, where that feature is enabled.
- Anthropic (Claude AI)— when a credit application or permit document is scanned, the document image is sent to Anthropic’s AI service to extract and read its contents (for example, names, addresses, and business identifiers). This third-party AI processing helps us enter information accurately. Anthropic does not use this data to train its models on our behalf.
- Samsara — fleet telematics for our company vehicles (vehicle location, engine, and diagnostics data — this concerns our trucks, not your personal device).
- OpenStreetMap (Nominatim) and Google Maps — address geocoding and map display for quotes and delivery locations.
- Apple, Google, and Mozilla push services — to deliver notifications you have enabled.
We may also disclose information when required by law, to protect our rights, or as part of a business transfer.
Location
The App does notcollect location from your phone or personal device. Vehicle GPS shown in fleet features comes from telematics hardware on our company trucks, not from users’ devices.
Analytics & tracking
We do not use advertising SDKs, cross-app tracking, or third-party analytics/session- recording tools, and we do not track you across other companies’ apps or websites.
How we protect your information
All data is transmitted over encrypted HTTPS/TLS connections. The most sensitive identifiers — including SSN, EIN, DUNS, bank and routing numbers, and driver’s license — are encrypted at rest using AES-256. Access is restricted by role and database row-level security, and uploaded documents are served only through short-lived, signed links.
Data retention & account deletion
You can permanently delete your account at any time from within the App:
- Employees: open My Account and use Delete Account.
- Customers (portal): open Account and use Delete My Account.
Deleting your account permanently removes your login and personal profile (name, photo, phone, and sign-in) and cannot be undone. Because we operate a business subject to accounting, tax, and contract-law recordkeeping requirements, records we are legally required to keep — such as invoices, completed orders, and submitted credit applications — are retained for the period the law requires, with your personal account link removed from them. If you need help completing a deletion or have questions, contact us using the details below.
Your choices
You can update your profile in the App, turn notifications on or off per device, and delete your account as described above. To request access to or correction of your information, contact us.
Changes to this policy
We may update this policy from time to time. Material changes will be reflected here with a new effective date.
